Reception never has time to chase the appointments about to be missed, or to refill the ones already gone. This does both.

How it works

Reminders go out a week ahead, two days ahead, and three hours ahead, by text, WhatsApp, email or voice.

Patients reply in normal words to confirm, cancel or move it. No app, no password, no portal.

When a slot frees up, it goes straight to the waitlist, ordered by who needs it most and who can realistically get there.

It also works out which bookings are most likely to be missed, so reception can call those twenty instead of all two hundred. Every change is written back to your booking system, so nobody is checking two screens.

An example

A six-doctor family practice was running 220 appointments a week and missing 18% of them. That is about 40 visits gone every week.

Getting to 7% brought back around 24 of those. At $150 a visit, that is roughly $3,600 a week, or about $187,000 a year, from slots they were already paying for.

A clinic in Ohio was at 21% and only worked the waitlist on Fridays. Afterward, a cancelled slot was refilled in about 11 minutes, the waitlist cleared every week instead of every month, and reception stopped making 60 reminder calls a day. Overtime dropped, and the wait for an appointment fell from 19 days to 9.

What actually made the difference

Not the AI. Two things: letting patients reply, and refilling the slot immediately. Clinics that only add reminders see 2 or 3 points of improvement. Clinics that add both see three to four times that.
