For doctors and medical practices
AI medical answering service for clinics
An AI receptionist that answers patient calls when your front desk cannot: after hours, at lunch, and when the queue is three deep. It books appointments, chases the no-shows, answers the routine questions, and puts anything urgent through to a person.
The calls your front desk cannot get to
Most practices do not lose patients because of bad care. They lose them because nobody picked up. The phone rings while your staff are checking someone in, at lunch, and from six in the evening until eight the next morning. Those callers do not leave a voicemail and wait. They call the practice down the road.
- Overflow calls, so a queue never turns into a hang-up.
- After-hours and weekend calls, answered rather than sent to a machine.
- Missed calls followed up by text within seconds, so the caller gets a way back in.
A missed appointment at least shows up in your schedule. A missed call leaves no trace at all, which is why it is worth counting: the missed call text back calculator turns your answer rate into a yearly number.
What it actually does on a call
It handles the questions your front desk answers forty times a day, and books into the schedule you already use. It does not diagnose and it does not give medical advice.
- Hours, location, parking, what insurance you take, what to bring.
- Books, moves and cancels appointments, then writes it back to your booking system.
- Takes refill and records requests as structured messages your staff can work through.
- Answers in the patient’s language, by voice, text or WhatsApp.
- Anything that sounds urgent goes to a person immediately. That rule is in the code, not left to the model.
No-shows: the other half of the same schedule
Answering the phone fills slots. No-shows empty them again. The two problems share one fix, which is a reminder a patient can reply to and a waitlist that gets worked within minutes rather than on Friday afternoon. In the ClinicFlow AI build, a six-provider family practice running 220 appointments a week went from 18% no-shows to 7%, and a cancelled slot was being refilled in about eleven minutes instead of sitting empty.
- Reminders a week, two days and three hours ahead, by text, WhatsApp, email or voice.
- Patients confirm, cancel or move the visit by replying in normal words. No app, no portal.
- A freed slot goes straight to the waitlist, ordered by who needs it and who can get there.
- The bookings most likely to be missed are flagged, so staff ring twenty people instead of two hundred.
Worth putting your own rate into money before changing anything: the no-show cost calculator does it with four numbers, how to reduce no-shows has the reminder cadence and the waitlist in full, and the ClinicFlow AI case study has the build that got there.
The admin that sits either side of the visit
A front desk is not only a phone. The same automation that answers calls can do the checks nobody has time for the day before, which is where most claim problems and awkward counter conversations start.
- Insurance eligibility checked the evening before, while there is still time to ring the patient.
- Referral and prior authorization gaps flagged before the appointment, not at check-in.
- Refill requests arrive as structured requests instead of a rambling voicemail.
- Intake forms and pre-visit questions collected before the patient arrives.
Eligibility is the cheapest of these to fix: insurance eligibility verification before the patient arrives covers how the night-before sweep works.
Built for a clinic, not a call centre
Every clinical output is reviewed and signed by a person. Patient data stays inside the systems you already trust, and a BAA is in place before any protected health information is involved. Emergency escalation is handled by fixed rules rather than model judgement: the model may widen what counts as urgent, never narrow it.
The HIPAA and BAA detail, what the stack is allowed to store, and the packages are all on the main AI receptionist page.
What your team sees in the morning
A short summary of every call: who rang, what they needed, what was booked, and what still needs a person to call back. In the FrontDesk AI build, 71% of after-hours contacts were resolved without waking the on-call clinician, and every red flag was escalated in under a minute. Your staff start the day with a list, not a voicemail box.

Common questions
Does it replace my front desk staff?
No. It covers the calls they cannot physically get to: overflow, lunch, evenings, weekends, and the ones that come in while they are with a patient. Your staff keep the work that needs a person.
How is this different from a medical answering service?
A traditional answering service takes a message and passes it on, which means the work still waits for your staff. This answers the question, books or moves the appointment in your scheduler, and only involves a person when the call genuinely needs one. It also answers every call at once rather than queueing them.
What happens if a patient describes an emergency?
It escalates to a person straight away and tells the caller to use emergency services if the situation calls for it. The escalation rules are deterministic, so the model can widen what counts as urgent but never narrow it.
Will it work with the booking system we already have?
That is the goal in every build: the appointment has to land in the calendar your staff already look at, otherwise you have two systems to check. Which integrations are possible depends on what your software exposes, and that is the first thing we check on a call.
Is it HIPAA compliant, and will you sign a BAA?
A BAA is in place before any protected health information is involved, and the stack is scoped so PHI stays inside systems you already trust. The detail, including which vendors sit in the stack, is on the main AI receptionist page.
How much does it cost?
The packages and what each one includes are listed on the main AI receptionist page, alongside a comparison with a human receptionist and a traditional answering service. Everything is fixed price, you own what gets built, and there is no long-term contract.
Try it, then talk to me
There is a live demo on the main AI receptionist page. Talk to it, then book a call and we will work out whether it fits how your practice takes calls today.
