Patient No-Show Cost Calculator
See exactly what missed appointments cost you every year.
Most practices know their no-show rate. Very few have ever converted it into a dollar figure, because the loss is invisible — the room was staffed, the provider was there, nothing showed up on a report. Put four numbers in below and you'll see the annual cost, plus what a realistic improvement is actually worth.
Your numbers
Across all providers and locations.
Include late cancellations you could not refill.
Net collected, not billed.
Subtract holidays and closures.
What it costs you
Missed per week

Now move the rate. What would a realistic improvement be worth?

What to do with this number
Your practice is leaving about $285,120 a year in already-staffed capacity on the table, and roughly $174,240 of that is reachable without seeing a single new patient. I build the reminder, waitlist, and rescheduling automation that closes that gap — usually live in two to three weeks, on top of the scheduling system you already use. Send me your numbers and I'll tell you honestly whether it's worth doing.
“Email me these results” opens your mail app with the numbers already filled in. Nothing you typed here is sent anywhere until you hit send — every calculation runs in your browser.
How your rate compares
- National average, all specialties5–8%
- Primary care (many settings)18–20%
- Urban / high-demand specialty30%+
- Behavioral & mental healthHighest of any specialty
Benchmarks are directional. Validate against your own appointment, payer, and scheduling-lead-time data before setting an internal target.
What actually moves a no-show rate
- Two-way messaging, not blasts. One-way SMS reminders tell a patient they have an appointment. They do not let the patient move it. Most cancellations become no-shows simply because rescheduling was harder than not showing up.
- An instantly worked waitlist. A cancelled slot has value for about an hour. If your waitlist is worked on Fridays, the slot is already gone. This is where most of the recovered revenue comes from.
- Shorter lead times. No-show risk climbs sharply with the gap between booking and visit. Cutting third-next-available does more than any reminder cadence.
- Targeted human calls. Score the high-risk appointments and have a human call those twenty, instead of a staff member calling all two hundred.
