HVAC missed call calculator

What missed HVAC calls cost you, in money, not in regret.

A furnace quits at eleven at night. An AC dies on the hottest Saturday of the year. Those callers are not leaving a voicemail and waiting until Monday, they are working down the search results until somebody picks up. Put in three numbers and you will see what that is worth per week, per month and per year.

Your numbers

The figures already in the boxes are example starting points, not benchmarks. Change them to whatever you actually see.

Rang out, hit voicemail, or came in after the office closed. Example input.

%

Of the people who could not reach you, how many had a job to book? Example input.

$

What a typical booked visit invoices, repair and replacement blended. Example input.

Most shops answer all year, so this is usually close to 52.

Not sure how many you miss?

Your phone provider almost always reports unanswered calls. Work backwards from it here and the number drops into the box above.

All lines, including the cell the owner carries.

%

100 minus your answer rate.

Per week.

That works out to 36 missed calls a week.

The maths: missed calls a week, times the share that would have turned into jobs, times what one is worth, times the weeks you are open. Nothing else is assumed.

So what do you do with that?

On these numbers you are leaving about $225,000 a year on the table, and roughly $112,500 of it is reachable just by answering or texting back. I build the after-hours answering and missed-call text-back that closes that gap, with emergency calls routed straight to whoever is on call. Send me your numbers and I will tell you honestly whether it is worth doing.

The email button just opens your normal mail app with the numbers already typed in. Nothing you entered here goes anywhere until you press send. The maths ran on your own computer.

Why after-hours calls are the expensive ones

  • No heat and no cool do not wait. A maintenance question can sit until morning. An emergency cannot, and it is the emergency that carries the bigger invoice.
  • Season stacks the misses. The week every phone in the office is already ringing is the same week every competitor is busy too. Whoever answers gets the job.
  • Voicemail is not coverage. A message that nobody hears until 8am is the same as a missed call, except you also paid for the phone line. An HVAC answering service that can actually book the visit is not.
  • Text back catches the rest. When a call does slip, an automatic text within seconds keeps the conversation alive while the caller is still on their phone.

After hours HVAC answering, dispatch handoff and what the AI actually says on the call are all covered on the HVAC page.

Where this goes next

If the yearly number is bigger than you expected, the fix is not another voicemail box. It is answering every call, sorting the emergencies from the routine jobs, and getting the urgent ones to your on-call tech with the details already written up.
